Employee Utilisation & Timesheet Submission
Two reports about people rather than money. Employee Utilisation shows how much of each person's available time was worked and billed. Timesheet Submission shows who submitted which week, whether it was on time, and what is still missing.
Applies to: the Professional plan. Both reports need View All Timesheets (erp:hr:timesheets:view), not the finance reports permission. Holding it puts the Reports section in your sidebar with these two pages in it.
Open either from Reports in the sidebar. Choose the Period at the top — the last 4, 8, 13 or 26 weeks, or 52 weeks for utilisation. Periods run in whole timesheet weeks, ending with the current one.
Employee Utilisation
The figures are built from job time and hand-entered timesheet time directly, so they are complete whether or not anyone has started a timesheet.
| Figure | Worked out as |
|---|---|
| Available | Working days employed in the period × a standard day (hours per week ÷ 5), with public holidays for the employee's state excluded, less Leave |
| Leave | Approved leave in the period, counted the same way |
| On jobs | Closed job time of 24 hours or less, excluding breaks |
| Other | Hand-entered timesheet time — travel, admin, training and other |
| Billable | The billable part of On jobs and Other |
| Utilisation | Billable ÷ Available |
| Occupancy | (On jobs + Other) ÷ Available. Over 110% is highlighted |
The By employee table is sorted by utilisation, and each name opens that person's timesheets. The By week table gives the same figures for the whole team, week by week.
The report includes current employees and anyone who left during the period with an end date recorded. An employee deactivated without an end date is left out, because there is no way to tell how long they were available.
Timesheet Submission
A grid of employees against weeks, one mark per sheet. Select a mark to open that timesheet.
| Mark | Meaning |
|---|---|
| ✓ | Approved |
| … | Awaiting approval |
| ↩ | Changes requested |
| D | Draft |
| ✗ | Missing — the week has ended and there is no sheet |
| · | Not started, in the current week |
| Underlined | Submitted late |
A week counts once it has ended. Only ended weeks count towards Submitted, On time and Missing, so the current week never shows as overdue. A sheet is on time if it was first submitted by the end of the day after its week ends. Resubmitting after changes were requested doesn't change that.
The figures at the top are the submission rate, the on-time rate, the number of missing sheets, the number awaiting approval, and the average time from submission to approval. Employees with the most missing weeks are listed first.
