Tier 7 — People, Timesheets & Leave

Fill in and submit your timesheet

Check your week's hours, add any time that wasn't on a job, and send the sheet for approval. You can do all of it in the portal or in the mobile app.

Applies to: the Professional plan. Needs View My Timesheets (erp:hr:timesheets:view-own) and Submit Timesheets (erp:hr:timesheets:create).

Prerequisites: none. Clock on and off your jobs through the week and that time is already on the sheet — see Time Tracking on Jobs.

Open your week

  1. In the portal, go to Employees > Timesheets > My Timesheets. In the app, open the menu and select Timesheets, or use the My Timesheet card on the dashboard.
  2. Find the This week or Last week card. Each shows the hours on the sheet next to the hours logged on jobs.
  3. Select Start timesheet. If the week already has a sheet, the button reads Continue instead.

The sheet opens with your job time and approved leave already on it, day by day. A job line links to its job: to change those hours, change them on the job.

Add time that wasn't on a job

  1. Select Add time, or the plus button beside a day. In the app, it is the plus button beside each day.
  2. Day — any day of the week up to today.
  3. Type — Work, Travel, Admin, Training or Other.
  4. Record as — choose Start and finish times and fill in Start, Finish and Break (minutes). Or choose Number of hours and type the hours. In the app these are Start & finish and Hours.
  5. Tick Billable time if the time can be charged for, and add Notes if the approver needs context.
  6. Select Save.

The total appears under the times as you type. A single line can't run past midnight, so split overnight work across two days. A day can't hold more than 24 hours across all its lines.

To change a hand-entered line, select its edit button in the portal or tap it in the app. The bin button removes it.

Submit

  1. Check the Week at a glance totals.
  2. Select Submit.
  3. Add a Comment for the approver (optional), then select Submit.

Submit stays greyed out while you are still clocked in on a job that week, or while a job entry runs over 24 hours. The warning at the top names the job. Open it, fix the time there, and the sheet catches up on its own.

What you should see

The sheet reads Awaiting approval and can no longer be edited. The job time on it is locked too. To change something before it is approved, select Recall, which returns it to Draft.

If the approver sends it back, you are notified and the sheet reads Changes requested, with their reason at the top. On the My Timesheets card the button reads Fix and resubmit. Make the change and submit again.
