Tier 3 — Quoting & Jobs

Sending & Managing Quotes

Once a quote is drafted you can email it, share a link the customer can accept without logging in, and record the outcome. This article covers both ways of getting a quote out and everything the quotes list can do afterwards.

Applies to: every plan. You need erp:sales:quotes:view to open a quote and erp:sales:quotes:delete for the delete actions.

Prerequisites: Creating a Quote.

Email the quote

  1. Open the quote from Sales > Quotes.
  2. Select Options in the page header, then Send Quote. On a quote you have already sent, the same item reads Resend.
  3. Recipient — required. The customer's email address fills in where AxiomBlue has one.
  4. CC and BCC — optional. Separate several addresses with commas.
  5. Subject — required. A default subject is filled in and you can change it.
  6. Message — the body of the email.
  7. Select Send Quote.

The quote PDF is attached automatically. The dialog names the attachment at the bottom, so you can confirm it before sending.

Share a link instead

A share link lets the customer view, accept or decline the quote without an AxiomBlue login.

  1. Select Share in the page header.
  2. Password Protection — optional. Leave it blank for an open link.
  3. Select Generate Share Link.
  4. Select Copy to put the link on your clipboard, or fill in Recipient Email and send it from the same dialog.

When the customer opens the link, the quote moves to Viewed and the time appears in the Activity card.

Record the outcome yourself

Customers often answer by phone. The Options menu carries the matching actions, and which ones appear depends on the quote's current status.

  • Mark as Sent — on a draft, marks it sent without emailing anything.
  • Mark as Accepted — opens Accept Quote, where Customer Name is required. A drawn signature is optional.
  • Mark as Declined — records a refusal.
  • Return to Draft — reopens a sent, viewed or declined quote so you can edit and resend it.
  • Convert — appears once the quote is accepted. See Converting Quotes to Jobs.

The same menu also holds Print, Duplicate, Share Quote and Save as Template.

Quote statuses

A quote holds exactly one of these eight statuses.

  • Draft — being prepared, and still editable.
  • Sent — emailed to the customer, or marked sent by hand.
  • Viewed — the customer has opened the share link.
  • Accepted — the customer agreed.
  • Declined — the customer refused. A declined quote can be edited again.
  • Expired — the expiry date has passed.
  • Invoiced — an invoice has been raised against it.
  • Deleted — removed from the working list.

Converting does not change the status. A quote turned into a job or an invoice keeps the status it had, and gains a Go to Job or Go to Invoice button instead.

Work the quotes list

The list at Sales > Quotes gives you the following.

  • Search quotes — matches on quote number, customer and title.
  • Filters — narrow by Status, Date From and Date To. Clear Filters resets them.
  • Options > Export CSV — downloads the current page as a CSV file.
  • Row actions View, Edit and Delete.
  • Tick several rows for Export Selected and Delete.

What you should see

After sending, the status badge reads Sent and the Activity card in the sidebar records the time it went out.

Tip: Four ready-made workflows chase quotes for you — Quote Follow-Up Reminder, Quote Expiry Warning, Quote Auto-Expire and Notify and Quote Accepted — Auto-Create Job. See Templates & Suites.
