Asset Management

The asset register is your list of vehicles, equipment and tools — what you own, where it lives, what condition it is in, and who has it right now.

Applies to: Inventory > Assets. You need erp:assets:items:view to open the register, erp:assets:items:create to add an asset, erp:assets:items:edit to change one, and erp:assets:items:manage to edit the categories.

What the register holds — and what it does not

Assets here are physical things your crews use: utes, mowers, generators, laptops. The register records identity, location, condition and custody, plus the purchase price, warranty and insurance dates you need for a claim.

It is not a fixed-asset ledger. AxiomBlue does not calculate depreciation, post depreciation journals, or work out a gain or loss on disposal. Your accountant handles that side.

Set up categories first

Every new business starts with a default set — Vehicles, Power Tools, Hand Tools, Heavy Machinery, Safety Equipment, IT & Office Equipment, and Generators & Power Equipment.

To change them, select Options > Manage Categories. Each category has a Name and an optional Description. Archive a category you no longer use rather than deleting it, so existing assets keep their label.

Add an asset

  1. Open Inventory > Assets and select Add Asset.
  2. Enter the Name. It is the only required field — make it something a crew member would search for, such as "Ford Ranger XLT".
  3. Pick the Category and set the Location, for example Depot or Ute 2.
  4. Record the Serial / Rego Number, Model and Manufacturer. These are what you quote to an insurer or a repairer.
  5. Set the Condition — Excellent, Good, Fair or Poor.
  6. Fill in Purchase Date, Purchase Price and Warranty Expiry.
  7. Add Notes, then select Add Asset.

What you should see: AxiomBlue assigns an asset number and opens the new asset's page.

Asset statuses

An asset carries one of four statuses. The Status field appears on the edit form, not when you first add an asset.

  • Active — in service. Only active assets can be checked out.
  • In Maintenance — off the road. Set it yourself when a machine goes in for repair.
  • Disposed — sold, scrapped or given away.
  • Written Off — destroyed or beyond repair.

Retire assets by status, not by deleting them. Deleting is permanent, and AxiomBlue blocks it for any asset with check-out history. Set the status to Disposed or Written Off instead, and the history stays intact.

Find an asset

The list shows the asset name and number, category, serial or rego, status, custody, location and condition. Search matches on name, number, serial and model.

Filters narrows the list three ways:

  • Status — Active, In Maintenance, Disposed or Written Off.
  • Custody — Checked out or Available.
  • Category.

Four figures sit above the list: Assets, Checked Out, Overdue Returns and In Maintenance.

What an asset's page shows

Opening an asset gives you four cards:

  • Custody — who holds it now, since when, when it is due back, and the full check-out history.
  • Identification — category, serial or rego, model, manufacturer, location and notes.
  • Status — current status, condition and the date you added it.
  • Purchase & Cover — purchase date, price, warranty expiry and insurance expiry.

Tip: record the small tools too. A complete register with serial numbers is what turns an insurance claim or a theft report from guesswork into paperwork.
