Checking Assets Out & In
Check an asset out when it leaves the depot and check it back in when it returns. AxiomBlue then always has an answer to "who has the pressure washer?" — and a record of what condition it came back in.
Applies to: Inventory > Assets. Checking assets out and in needs erp:assets:items:checkout or erp:assets:items:edit. Viewing the history needs erp:assets:items:view.
Before you start: the asset must be in the register with a status of Active. See Asset Management. To check an asset out to someone other than yourself, that person needs an active employee record — see Setting Up Employees.
Check an asset out
- Open the asset from Inventory > Assets and select Check Out.
- Set Checked out to. It defaults to Me; pick an employee from the list to hand it to someone else.
- Confirm Checked out from. It pre-fills with now, and you can back-date it for a tool that went out this morning. Future dates are rejected.
- Set the Expected return date. This drives the overdue warnings, so use it even for a rough guess.
- Enter the Purpose — a job name or site, such as "Riverside job".
- Select Check Out.
What you should see: the Custody card changes to "Checked out to [name]" with a Checked out badge. The register's Custody column shows the same, plus the due date.
One asset, one holder. AxiomBlue allows a single open check-out per asset, so the Check Out button disappears until the asset comes back. It also hides the button for any asset that is not Active.
Check an asset back in
- Open the asset and select Check In.
- Set the Condition on return — Excellent, Good, Fair or Poor. Leave it on Unchanged if the asset came back as it left.
- Add Notes covering anything the next person needs to know: damage, missing parts, fuel level.
- Select Check In.
The asset returns to Available and the trip drops into the check-out history.
Read the check-out history
The Custody card on each asset lists every trip it has made, with five columns:
- Checked Out — date and time it left.
- To — who took it.
- Returned — date and time it came back, or an Out badge if it is still gone.
- Condition — the condition going out, and an arrow to the condition coming back when that changed.
- Purpose — what it went out for.
Chase overdue returns
The Overdue Returns figure at the top of the register counts assets past their expected return date. To see which ones, select Filters and set Custody to Checked out. The Custody column then names the holder and the due date for each.
Tip: record the condition on every check-in, even when nothing has changed. The condition trail across trips is what tells you a machine is wearing out before it strands a crew.
