Tier 7 — People, Timesheets & Leave

Leave Requests & Approvals

Raise a leave request for any employee, then approve or reject it from the same list. This page covers the request form, what AxiomBlue works out for you, and what happens after a decision.

Applies to: the Professional plan, with the leaveManagement feature flag on. Raising a request needs erp:hr:leave:create. Approving and rejecting needs erp:hr:leave:manage.

Prerequisites: Leave Management Setup

Raise a leave request

  1. Open Employees > Leave Management.
  2. Select New Request.
  3. Employee — choose who the leave is for. The list shows each person's employee number.
  4. Leave Type — choose from your active leave types.
  5. Start Date and End Date — set the first and last day away.
  6. Tick Start from midday or End at midday for a half day at either end. Each ticked box takes half a day off the total.
  7. Reason — optional, and visible to whoever reviews the request.
  8. Select Submit Request.

The four starred fields are required, and Submit Request stays disabled until all four are filled.

What AxiomBlue works out for you

On submit, AxiomBlue counts the working days between the two dates, skipping weekends and any public holiday recorded for the employee's state. It then converts those days to hours using the employee's weekly hours divided by five. The request gets a number in the form LR-0001.

For a leave type that accrues, AxiomBlue also checks the recorded balance. If the request asks for more hours than are available, it is refused with a message giving both figures. Nothing is saved.

Find a request

The Requests tab lists every request with its number, employee, leave type, dates, day count and status. Search by employee name, request number or leave type. The status filter offers All Statuses, Pending, Approved, Rejected and Taken.

Approve or reject

  1. Find the request on the Requests tab. Approve and Reject appear only on requests still Pending.
  2. Select Approve, then confirm. The status changes to Approved and the request is stamped with your name and the time.
  3. To turn one down, select Reject, type a Reason for Rejection, then select Reject again.

Approving does not move a balance and does not email anyone. It changes the status and records who decided. Deducting the hours is a manual adjustment, and telling the employee is something you set up as an automation.

Approved leave on timesheets

Approved leave appears on the employee's weekly timesheet as a leave line on each working day it covers, sized the same way as the request. To change those lines, change the leave request. See How timesheets work.

Tell people automatically

Two events fire from this screen, and you can hang an automation off either one:

  • leave_request.created — carries the employee's name, the leave type and the number of days
  • leave_request.approved — carries the same, plus the employee's email address

Two ready-made templates use them. Leave Request Approval Notification alerts an administrator as soon as a request arrives. Leave Approved — Check Job Coverage looks for jobs assigned to that employee during the leave, flags each clash for reassignment, and confirms the leave to the employee when there are none.

The Calendar tab

The Calendar tab lists up to five approved or taken requests, each colour-coded by leave type, with the date range and day count. It is a coverage summary rather than a month grid, so use it as a quick check before approving overlapping leave.

What you should see

After approving, the request's status reads Approved and the Pending Requests figure at the top of the page drops by one. If the leave starts today or later, Upcoming Leave goes up by one.
