Tier 7 — People, Timesheets & Leave

Leave Management Setup

Leave Management records who is off work, when, and how much leave they have left. Read this before your first leave request, so the hours and days on a request make sense.

Applies to: the Professional plan. Opening the page needs the erp:hr:leave:view permission. Approving, rejecting and changing leave needs erp:hr:leave:manage. Leave Management is controlled by the leaveManagement feature flag, which is currently on.

Prerequisites: Setting Up Employees. An employee's weekly hours decide how many hours one leave day costs them.

Where leave lives

Open Employees > Leave Management. Three figures sit across the top of the page:

  • Pending Requests — requests waiting on a decision
  • Upcoming Leave — approved leave starting today or later
  • Taken This Month — requests marked Taken that started this month

Below them are three tabs:

  • Requests — every leave request, with Approve and Reject actions
  • Calendar — approved and taken leave for the team
  • Leave Types — the categories of leave your business offers

The leave types your business starts with

AxiomBlue seeds six leave types. Each has a short code you'll see beside its name on the Leave Types tab:

  • Annual Leave (AL) — 152 hours a year, which is four weeks at 38 hours. Accrues.
  • Personal Leave (PL) — 76 hours a year for illness or caring. Accrues.
  • Long Service Leave (LSL) — no set entitlement. Does not accrue.
  • Compassionate Leave (CL) — capped at three consecutive days. Does not accrue.
  • Parental Leave (PAR) — no set entitlement. Does not accrue.
  • Leave Without Pay (LWOP) — unpaid. Does not accrue.

What the Leave Types tab shows

Each row lists the type's name and code, its Category, its Entitlement in hours per year, whether it Accrues, whether it Requires Approval, and its Status. A type with no set entitlement shows a dash. Only active types appear in the leave type list when you raise a request.

The Leave Types tab is read-only. The portal has no screen for adding, editing or deactivating a leave type yet. If the tab is empty, or a type needs different settings, contact AxiomBlue and we'll set it up on your account.

Leave is held in hours, not days

Balances and entitlements are stored as hours. AxiomBlue converts a balance to days at 7.6 hours per day, the standard full-time Australian working day.

A leave request works the other way. AxiomBlue counts the working days between the start and end dates, then multiplies by that employee's own hours per day, calculated as their weekly hours divided by five. A part-timer on 20 hours a week spends 4 hours per day of leave; a full-timer on 38 spends 7.6.

What counts as a working day

Weekends never count. Public holidays recorded for the employee's state never count either. A request that spans a long weekend costs fewer days than the calendar suggests.

Balances do not build up on their own

AxiomBlue does not yet run leave accruals. Balances change when someone with erp:hr:leave:manage adjusts them, not on a schedule. Treat the entitlement figures on the Leave Types tab as the policy your business has set, not as a running total.

This matters for approvals. A request for an accruing leave type is refused if the hours asked for exceed the recorded balance, with a message naming both figures.

What you should see

Open Employees > Leave Management and select Leave Types. You should see your business's leave types, each with a category and a status of Active. You're ready to raise requests.
