Tier 4 — Finance & Payments

Finding Unbilled Work

The Unbilled Work card on your dashboard totals the completed work that has no invoice against it, so nothing you have already done goes unbilled.

Applies to: every plan — Free, Basic and Professional. The card appears for anyone with finance or jobs access. Raising the invoice from a job additionally needs Create Invoices permission. No feature flag controls this.

Read the Unbilled Work card

Open Dashboard and find the card headed Unbilled Work, under the label Revenue Opportunity. It shows:

  • Total Unbilled — the whole value waiting to be invoiced, marked Ready to invoice.
  • The number of Jobs and their value, with the most recent job number underneath.
  • The unbilled Hours and what they are worth, with the number of time entries behind the figure.
  • The count of Materials and their value.

A line only appears when there is something in it. With nothing outstanding the card reads No unbilled work at this time.

Turn unbilled work into invoices

You invoice unbilled work one job at a time, from the job itself.

  1. Note the job number on the card. Or open Jobs & Crews > Jobs and filter to Completed.
  2. Open the job.
  3. Select Generate Invoice and work through the preview — see Converting Jobs to Invoices.
  4. Repeat for each remaining job. The card's totals drop as you go.

Known limitation: the card's Invoice Now and Review & Create Invoices links lead to a page that has not been built, so they land on a "not found" screen. Go to the job instead.

Batch invoicing

There is no screen for invoicing several jobs in one action. Raise each invoice from its job, as above.

Catching work before it slips

Two habits keep the unbilled figure honest:

  • Mark time entries and materials as billable while the job is running, not weeks later. Only billable items reach the invoice.
  • Check the card at the end of each week. A job that has been complete for a fortnight with nothing raised against it is money sitting still.

What you should see

Once every completed job has an invoice, Total Unbilled falls to zero and the card reads No unbilled work at this time. The invoices themselves are waiting as drafts in Banking & Expenses > Accounts Receivable, ready to approve — see Sending & Managing Invoices.
