Tier 6 — Advanced Operations

Recurring Jobs (Job Series)

A job series generates jobs on a repeating schedule, so maintenance contracts, cleaning rounds and any other regular visit land in the calendar without you raising each one by hand.

Applies to: Jobs & Crews > Job Series. You need the erp:operations:job-series:view permission to open the list, erp:operations:job-series:create to create a series, and erp:operations:job-series:manage to generate or regenerate instances.

Before you start: the customer must already exist. See Managing Customers. To copy an existing job's setup into every generated instance, create that job first — see Creating Jobs Directly.

What a job series is

A job series holds one recurrence rule and one set of job defaults. AxiomBlue uses them to create real jobs, called instances. Each instance behaves like any other job: you schedule it, assign a crew, log time and invoice it.

This is not the same feature as recurring invoices and bills. AxiomBlue has no screen for those — recurring billing templates were removed from the portal, so a job series is the only recurring schedule you can set up.

Create a job series

Open Jobs & Crews > Job Series and select Create Series. The wizard walks through five steps.

  1. Details — enter the Series Name and pick a Customer. Both are required. You can also set a Description, Priority, Est. Duration (minutes), Est. Cost ($), a Site Address and Notes.
  2. Job Template — search for a Template Job. Every generated instance copies that job's setup. Leave it blank to generate bare jobs.
  3. Allocations — use Add Employee and Add Crew to pre-assign who does the work. Every instance inherits the list.
  4. Schedule — choose the recurrence and the dates:
    • Frequency — Daily, Weekly, Fortnightly or Monthly, with an interval (every 2 weeks, every 3 months).
    • Weekly and fortnightly series need at least one day of the week selected.
    • Monthly series repeat on a day of the month, or on a chosen weekday of the 1st, 2nd, 3rd, 4th or Last week.
    • Start Date is required. End Date is optional — leave it blank to repeat indefinitely.
    • Start Time and End Time are optional. Every generated job uses the start time, and defaults to 8:00am when you leave it blank.
  5. Generation — set Future instances to maintain. AxiomBlue keeps that many unfinished jobs ready ahead of you, topping the pipeline back up as instances finish. The step previews the first and last dates before you commit.

What you should see: the new series appears in the list with a status of Active and a Next Run date. The frequency reads back in plain words, such as "Fortnightly on Mon, Thu".

Work with the instances

Select a series to open it. The Instances card lists every job the series has produced, with a status filter across Pending, Scheduled, In Progress, Completed and Cancelled. Each row offers View Job, and Delete Instance for jobs that are not completed or invoiced.

Edit a single instance the way you edit any other job — open it from View Job. Changing one instance leaves the rest of the series untouched.

Pause and resume

Select Pause on an active series to stop it generating new jobs, for example while a customer is away. The series status changes to Paused and the header swaps to a Resume button. Resuming starts generation again.

Generate and regenerate

Select Generate Instances from the series list to top up the pipeline on demand. AxiomBlue reports how many jobs it created.

Regenerate Instances rebuilds the upcoming jobs from scratch. Any change you made to an individual instance — its allocations, its scheduling — is lost. AxiomBlue asks you to confirm first. Use Generate Instances when you only want to extend the pipeline.

Bill the customer automatically

With Stripe connected, a series can charge each approved invoice for its visits to the customer's saved card or bank account. You send the request from the series' Automatic Billing card, and the customer authorises it in the customer portal. The series itself never charges anything — only the invoices you approve for its visits are charged.

Setting it up, what gets charged and when, and how to stop it are covered in Billing a Job Series Automatically.

Close a series off

When a contract ends, choose Complete from the series row. Completed and cancelled series stop generating jobs but keep their history. Delete removes the series outright.

Completing or pausing a series does not stop automatic billing: invoices you approve for its remaining visits are still charged. Deleting the series, or moving it to a different customer, ends automatic billing and removes the saved payment method from Stripe.

Tip: build the template job once with its tasks, materials and site notes, then point the series at it. Every future visit then arrives fully set up. See Job Templates.
