Quote Templates

A quote template stores a set of line items, an introduction and standard terms, so recurring work can be quoted in a few seconds. This article covers building templates and applying them to a quote.

Applies to: every plan, behind the quoteTemplatesWithLines feature flag, which is on. Creating, editing and deleting templates needs the erp:sales:quote-templates:lines permission.

Prerequisites: Creating a Quote.

Open the templates page

Go to Sales > Quotes, then select Options in the page header and choose Templates. The page is headed Quote Templates.

Each row shows Name, Category, Lines, Est. Value and Used. A star marks the default template.

Create a template

  1. Select New Template.
  2. Template name — required. Name it after the work, such as Standard Painting Quote — Interior.
  3. Category — pick the trade this template belongs to, such as Plumbing, Electrical or Roofing.
  4. Default template — tick this to mark it as your usual starting point.
  5. Introduction text — the opening paragraph shown at the top of the quote.
  6. Line items — the lines applied to the quote. Itemise labour and materials separately.
  7. Terms & conditions — the terms shown at the bottom of the quote.
  8. Select Create Template.

Save an existing quote as a template

Building a template from a quote you have already priced is usually quicker.

  1. Open a saved quote.
  2. Select Options, then Save as Template.
  3. Give it a Template name and a Category, then save.

Apply a template to a quote

There are two ways in. From the quotes list, use the arrow beside New Quote and choose New Quote From Template. Inside an editable quote, select Apply Template at the top of the Quote Details card.

Pick the template from the list. When the quote already has lines of its own, AxiomBlue asks how to apply it.

  • Replace all lines with template lines — discards what is there.
  • Append template lines to existing lines — adds them at the end.
  • Apply intro & terms only (no line items) — leaves your lines alone.

The template also fills in the introduction and the terms. It fills in the quote title only when you have not typed one.

Applying a template does not set the customer. Choose the customer on the quote itself, and check every price before you send.

Edit and delete templates

Select a row, or its Edit action, to reopen the template. Delete removes it permanently and asks you to confirm first. Quotes already built from a template keep their lines.

Use Filters to narrow the list by category, or the search box to match on name.

What you should see

A new template appears in the list straight away, with its line count and estimated value. The Used column counts up each time you apply it.

Tip: Templates cover a whole quote. For a repeated group of lines inside a larger quote, use an assembly instead — Options > Assemblies on the quotes page.
