Creating Jobs Directly
Not every job starts with a quote. This article covers creating one directly, which is what you want for callouts, warranty work and anything already agreed verbally.
Applies to: every plan. You need erp:operations:jobs:create. On the Freemium plan you can create 10 jobs per week, counted from Monday in your business's timezone.
Prerequisites: Managing Customers. You can also add a customer from inside the job form.
Open the New Job form
Go to Jobs & Crews > All Jobs in the sidebar and select New Job. The page is headed Jobs & Scheduling.
The form opens in five parts: Job Details, Billing, Schedule, Requirements and Location. Only the customer and the title are required.
Job details
- Customer — required. Choose one, or add a new customer without leaving the form.
- Job Title — required. Describe the work, such as
Install Split System AC. - Description — the scope and any site notes, up to 2,000 characters.
- Priority — Low, Medium, High or Critical. It defaults to Medium.
Billing
Choose how the work is billed. The fields underneath change with your choice.
- Time & Materials — bills the hours logged and the materials used. Not-to-Exceed Amount caps the invoice however much time goes on. Leave it blank for no cap.
- Fixed Price — bills an agreed total. Contract Amount is required, and Retention % withholds a slice of each claim until the job is finished.
Schedule
Every field here is optional, and you can set them later from the job.
- Scheduled Start — the day work begins.
- Deadline Date — the day it must be finished.
- Start Time and End Time — the planned hours on site.
- Estimated Duration — in hours. Auto Schedule uses it to size the slot, and logged time is tracked against it.
Requirements and location
Under Require These Skills, select the skills someone needs to do the work. Scheduling then steers the job towards crew members who hold them.
Under Location (Optional), fill in Site Address, City / Suburb and Postcode. Leaving the address blank uses the customer's own address, so fill it in only when the work happens somewhere else.
Create the job
Select Create Job. The button stays disabled until a customer and a title are set.
What you should see
The job appears in the list with a new job number and a status of Pending. Open it to assign a crew, add materials, log time and record notes.
To add many jobs at once from a spreadsheet, select Options > Import CSV on the jobs list. See Import customers, suppliers, price book items and jobs from a spreadsheet.
Tip: Fill in only what you know on site. Crew, materials, time and everything else are added later from The Job Detail Page.
