Scheduling jobs on the Crew Calendar
The Crew Calendar lays your crews out as rows against an hour axis, with everything still unscheduled parked down the left. Drag a job onto a crew's row and it is booked. This article covers scheduling, moving and printing the day.
Applies to: every plan. Opening the calendar and the Dispatch Map needs erp:operations:schedule:view; booking and moving jobs needs erp:operations:schedule:edit; Auto Schedule needs erp:operations:schedule:manage. Optimise routes on the Dispatch Map is part of the Professional plan.
Prerequisites: Creating Jobs Directly and Managing Crews
Open the calendar
Go to Jobs & Crews > Calendar & Schedule. The page is headed Crew Calendar. The date and the view you choose both go into the URL, so a link reopens the exact day someone else was looking at.
The calendar wants width. On a phone it says This page is best viewed on a tablet or PC once, then remembers you have read it.
What you are looking at
- The Unassigned panel on the left — every job with no crew and no time. It carries a count, a search box, and the priority filters All, Critical, High, Med and Low. Collapse it with the chevron.
- The timeline — one row per crew, hours running across. Each booked job is a block whose width is its duration.
- The date navigator and the view toggle — Day, Week and Month. Month leaves this page for the older month grid.
Your last choice of Day or Week is remembered, so the calendar reopens where you left it.
Book a job
- Find the job in the Unassigned panel. Type at least two characters in the search box, or filter by priority.
- Drag it onto a crew's row, at the hour you want it to start. The job books there.
- Drag the block's edge to change how long it runs.
Selecting a job opens a quick view instead of moving it, so you can read the detail before you commit. The + button beside a crew's name starts a brand-new job for that crew on that day.
If a re-time fails to save, the block snaps back where it was and a dialog headed Couldn't reschedule the job says why.
Move, clone or unassign
Hold Shift while you drop a block. A small menu opens instead of the move happening.
- Clone Job — copy this job onto the crew and day you dropped on.
- Move Job — move it there, keeping its time of day.
- Unassign Job — send it back to the Unassigned panel.
The Assign Job form
Cloning a job, and picking a time by hand on the Dispatch Map, both open the Assign Job form. Choose Assign to Crew or Assign to Individual, then pick the crew or the person. Set Scheduled Date, End Date, Start Time and End Time. Past dates are refused, and an end date earlier than the start date is flagged before you can save.
Auto Schedule
Auto Schedule in the header runs the scheduler over the unassigned jobs. It works in three steps — Select, Configure, Preview — and writes nothing until you choose Apply Schedule on the preview. The button is disabled when there is nothing unassigned. See Auto-Scheduler & Schedule Health.
The Options menu
- Print runsheets — opens a printable sheet per crew for the day, with times, customers and addresses. Allow pop-ups.
- Show as table — swaps the timeline for a plain list of crew, time, job, customer and address. Show timeline switches back.
- Open in Dispatch Map — the same day, on the map.
- Reschedule Day — move every scheduled job off a rained-out day. Set Day to clear and Where to move it, preview the result, then apply.
- Only crews with jobs — hides empty rows.
The Dispatch Map
Jobs & Crews > Dispatch Map is the same day seen geographically. Tick crews in the left rail to draw their routes; select an unscheduled job to see where it fits, then assign it from the map. Writes go through the same scheduling rules as the calendar.
Its options colour stops by Crew, Status, Priority or Day of week. Four layers switch on and off: Routes, Traffic, Home bases and Unscheduled jobs. Copy link to this view shares the exact map you are looking at.
Optimise routes reorders one crew's day for least driving, and is part of the Professional plan. Focus a single crew with at least two located stops before it will run. Jobs whose site address has no coordinates never appear on the map, and the rail counts them so you know they are missing.
What you should see
A booked job shows as a coloured block on its crew's row, at the right hour, and it leaves the Unassigned panel. Open it from the block to confirm the crew and times on the job itself.
