Tier 3 — Quoting & Jobs

Job detail page: every card explained

The job detail page holds everything about one job — its schedule, the people on it, the hours logged, the materials used and the money. This article names each card and says what it does.

Applies to: every plan. You need the erp:operations:jobs:view permission to open a job. Editing needs erp:operations:jobs:edit. The money cards — Billing, Payment Schedule and Job Summary — need erp:operations:jobs:financials or erp:finance:ar:view, and the Notes card needs erp:operations:jobs:view-notes.

Prerequisites: Creating Jobs Directly

Open a job

Go to Jobs & Crews > All Jobs and select a job. You can also reach a job from the Crew Calendar, from the Dispatch Map, or from the customer's own page. Each job has its own URL, so it bookmarks and shares cleanly.

Everything sits on one scrolling page in two columns. There are no tabs.

The header

The heading reads Job #JOB-2026-0052: Replace hot water unit — the job number, then the title. Below it are the priority badge and the status badge. Once the job is invoiced, an Open Invoice link appears beside them.

Three controls sit on the right: the action button, Generate Invoice (which appears only while the job is Completed), and the Options menu.

The action button

The blue action button changes with the job's state, and its dropdown arrow holds the other choice:

  • Start Job — when the job is Pending or Scheduled. Confirming moves it to In Progress and notifies the assigned technicians.
  • Resume — when the job is Paused.
  • Clock Out — when the job is In Progress and you are clocked in.
  • Clock In — when the job is In Progress and you are not.
  • Mark as Complete — the primary choice when nobody is clocked in and the scheduled start is more than an hour away.

Completed, Cancelled and Invoiced jobs show no action button.

The Options menu

  • Share Tracking — for Scheduled and In Progress jobs. Copy the customer tracking link, send it by email or SMS, refresh it, or revoke it.
  • Change Status — needs erp:operations:jobs:edit.
  • Change Billing — moves the job between billing methods. Needs erp:finance:ar:manage, because it moves the contract value.
  • Duplicate Job — needs erp:operations:jobs:create.
  • Cancel Job and Delete Job — hidden once the job is invoiced.

The cards

Job Details

Every field here edits in place: select it, change it, and it saves on its own.

  • What the job is — Title, Description, Project, Status, Priority.
  • When it happens — Scheduled Date, Scheduled Time, Deadline Date, Estimated Duration.
  • Where and who — Site Address and Required Skills.
  • Read-only Created and Modified stamps.

Scheduled Time accepts hours before you know the day. Enter them with no Scheduled Date and the job shows those hours marked no date yet; set the date later and the job books into them.

Estimated Duration is left empty until someone makes an estimate. It drives the auto-scheduler and the actual-versus-estimated bar on the Time Tracking card.

Photos

Job photos, with a count badge. Each thumbnail carries a visibility toggle: Visible to the customer — click to hide flips to Hidden from the customer — click to show.

Time Tracking

Every entry logged against the job — date, employee, start, end and hours — with a running total and an Add Entry button. See Time Tracking on Jobs.

Tasks

A checklist. Type into Add a task… and select Add. Ticking a task records who completed it. Tasks carry no hours and no assignee.

Materials

What the job consumed, priced at cost and at sell, with a margin column and a total. See Materials on jobs.

Signatures

Appears once a signature exists. Capture one from the Job Summary card. See Notes, Signatures & Tracking.

Billing and Payment Schedule

Billing shows the contract, claims and retention on a fixed-price job, and the not-to-exceed position on a time-and-materials job. Payment Schedule appears on fixed-price jobs that have a contract value, and holds the milestones you claim against.

Customer and Project

Two side-column cards, each present only when the job has one. They carry contact details, the site location, and a link through to the full record.

Assignments

Who is on the job, grouped by crew, with individuals listed separately. Assign adds a crew or a person; Invite Team Member sends an invitation the person accepts or declines from this same card.

Job Summary

The billing rules in force come first, each labelled with where it was set: Project, Customer or Business. The billing breakdown then lists each billable time entry with its rate, the billable materials, then labour, materials, subtotal, GST and total. Non-billable entries are counted but not charged. Capture Signature sits at the bottom of this card.

Notes

Timestamped notes with the author's name. A note can be marked internal so the customer never sees it.

Job statuses

Seven statuses are yours to pick, from Change Status or from the Status field:

  • Pending — raised, not yet booked in.
  • Scheduled — booked to a date and a crew.
  • In Progress — work has started.
  • On Hold — parked, and still open to new assignments.
  • Completed — finished, and ready to invoice.
  • Invoiced — an invoice exists against it.
  • Cancelled — called off.

An eighth, Paused, comes from pausing a running job. It is not in the list.

Only Pending, Scheduled, In Progress and On Hold jobs accept new assignments. Only a Completed job can be invoiced.
