Overdue Invoices & Payment Reminders
AxiomBlue emails a customer the day their invoice goes overdue, and tells you if it is still unpaid a week later. You switch it on once, in Invoice Settings, and adjust the wording and the timing from the same place.
Applies to: every plan — Free, Basic and Professional. Seeing the overdue list needs erp:finance:ar:view; switching the chasing on or changing it needs crm:automations:manage.
Prerequisites: Approving & Sending Invoices. Email customers must also be on under Settings > Communication Settings — with it off, nothing below reaches a customer.
Find what is overdue
Go to Banking & Expenses > Accounts Receivable. Four figures sit across the top:
- Total Outstanding — everything approved and unpaid.
- Overdue — the value past its due date, with the number of invoices beside the label.
- Collected This Month.
- Average Days to Pay.
To see only the invoices behind, select Filters and tick Overdue Only. The list marks each one with how many days late it is. For the ageing breakdown, switch to the Aged Receivables tab.
Switch on automatic chasing
- Go to Settings > Invoice Settings. From Accounts Receivable you can also select Options and then Invoice Automation.
- Find Automatic actions.
- Switch on Automatically chase overdue invoices.
From then on, the day an invoice passes its due date the customer is emailed automatically. Nothing is scheduled by hand and there is no separate reminders page to visit.
What it sends, and when
The chase runs off the moment an invoice becomes overdue, not off a fixed daily list:
- The customer is emailed straight away, with a link they can pay through.
- After a delay you choose — seven days by default — the invoice is checked again.
- If it is still unpaid, you are notified so you can call them.
- Chased invoices are tagged, so you can tell at a glance which ones have already been contacted.
An invoice with a dispute open is not marked overdue, so it is not chased until the dispute is resolved. See Invoice Disputes.
Change the wording or the timing
Select Automatically chase overdue invoices to open its settings. Four things are yours to set:
- Tell me if still unpaid after — the escalation delay, in days.
- Text the customer as well as emailing — sends an SMS alongside the email. This uses your SMS credit.
- Reminder wording — the body of the email.
- Tag chased invoices with — the tag applied once a chase has gone out.
Tip: reminders carry your payment instructions automatically, taken from Settings > Business Settings > Payments & Billing. If Stripe is connected, that includes a link the customer can pay through on the spot. You don't need to write your bank details into the template.
Change more than the settings allow
Behind the switch is a real workflow called Invoice Overdue Payment Chaser. To add a step, change who is notified, or chase on a different schedule, open it under Automations and edit it there. The switch and its settings follow whatever you do. See The Automation Editor.
Chasing one invoice by hand
To chase a single invoice without waiting, open it and use Options > Email Customer, which emails the invoice again with your payment instructions attached.
What you should see
Automatically chase overdue invoices reads as on in Invoice Settings. The next invoice to pass its due date is emailed without anyone touching it, and picks up your tag once it has been.
